The certificate of incapacity for work is now available in electronic format. If my doctor in Luxembourg is technically ready, I can send my sick note electronically to the CNS and my employer.

All the steps I need to take to benefit from digital submission
How do I use the electronic system?
- I use my private eSpace on MyGuichet.lu: If I do not yet have a private eSpace, I create one on MyGuichet.lu.
- I receive a notification: As soon as my doctor issues an electronic certificate of incapacity for work, I receive a notification of receipt in my private eSpace on MyGuichet.lu.
- I consult the certificate: I log in to my private eSpace on MyGuichet.lu and view my certificate.
- I transmit the certificate: I send the certificate to the CNS and my employer.
Transmission to the CNS
There are two possible transmission methods:
- Automatic transmission: each electronic certificate of incapacity for work will be sent directly to the CNS. However, I have a short period of time to cancel the transmission before it is processed.
- Manual transmission: I will validate the sending of each electronic certificate of incapacity for work myself from my MyGuichet.lu private eSpace.
In both cases, the CNS will send me a acknowledgement of receipt.
Transmission to the employer
I can send my certificate of incapacity for work to my employer electronically or by post/in person.
- Electronically via MyGuichet.lu (if my employer has a professional eSpace). I will then receive transmission confirmation as soon as it is sent to my employer, as well as read receipt when my employer has downloaded the certificate.
- By post or in person. I can ask the doctor to print the certificate or print part 2 myself from my private eSpace on MyGuichet.lu.

In practical terms, what are the steps?
Thanks to my private eSpace on MyGuichet.lu, I can send my sick notes:
- To the CNS
- To my employer (if they use their professional eSpace on MyGuichet.lu to receive medical certificates)
The CNS has prepared an interactive tutorial to guide me, step by step, through the process of sending my medical certificates via MyGuichet.lu. I can go through it at my own pace by clicking on the buttons and various interactive points.

How soon must I report my incapacity for work?
If my incapacity for work does not exceed two working days, I do not need to report it to the CNS, either by post or by telephone.
For sick leave of three days or more, I must send my certificate of incapacity for work no later than the end of the third working day of sick leave, as evidenced by the postmark, regardless of whether I am at my usual place of residence or abroad when I fall ill.
Retroactive effect of the certificate of incapacity for work
The medical certificate must be issued no later than the third day of incapacity for work or its extension. It can therefore have a retroactive effect of up to two days. Beyond that, it will only be taken into consideration by the CNS from the date of its issue.
For example, if I fall ill on Monday and cannot see a doctor until Wednesday, my doctor can issue my sick note from Monday. The period of incapacity for work will then be taken into account in its entirety.
However, if I only see a doctor on Thursday and my doctor issues my sick note from Monday, the CNS will consider that I have been incapacitated for work since Thursday.
What should I do if my incapacity for work is extended?
If my doctor extends my incapacity for work, I must send the new certificate to the CNS before the end of the second working day following the date initially scheduled for my return to work.
A few concrete examples to clarify matters: I calculate the deadline for my declaration
If my incapacity for work begins on a Monday, I send my certificate to the CNS no later than Wednesday (the third working day following the start of my incapacity).
- Part-time employment
If I am a part-time employee, do not work on Mondays and fall ill on a Monday:
→ I notify my employer on my first day of absence, i.e. on Tuesday, and send my certificate to the CNS by Thursday at the latest.
- Non-working days
If my incapacity for work begins on a Friday, with Saturday and Sunday being non-working days:
→ I send my certificate to the CNS no later than the following Tuesday.
- Extension
For an extension, if my first certificate indicated incapacity until Tuesday, meaning a return to work on Wednesday:
→ I send my new certificate no later than Friday (2nd working day following the planned return date)
- Extension and non-working day
If the last possible day for sending the extension is a non-working day (Saturday, Sunday or public holiday), the deadline is extended to the next working day.
→ So, if I was initially due to return to work on a Friday, and the 2nd following day is a Sunday, the deadline is extended to the next working day, i.e. Monday. I therefore send my extension by Monday at the latest.
Frequently asked questions (FAQ)
I would prefer to receive my certificate in paper format. Is this still possible?
Yes.
At my request, the doctor must print and sign the certificate of incapacity for work.
I can then send it to the CNS and my employer by post.
My employer has not read my electronic medical certificate. What should I do?
If, after my initial submission via MyGuichet.lu, my employer has not read my electronic medical certificate, I will send a printed version of the certificate directly to ensure that I comply with the legal deadline for reporting my absence.
Alternatively, I can resubmit the certificate to my employer via MyGuichet.lu.
I am unable to send my electronic medical certificate to my employer via MyGuichet.lu. Why?
I log in to my personal account on MyGuichet.lu and in the ‘Certificate of incapacity for work’ section, my employer's name is not displayed: I only see the term “Employer”, and the ‘Send’ button does not appear.
The system only allows certificates to be sent to employers who are identified via MyGuichet.lu in their professional space. If my employer does not have a professional eSpace on MyGuichet.lu, it will not be possible to send the certificate digitally from my MyGuichet.lu eSpace.
In this case, I must send them a printed version of the certificate within the legal time limit.
If I have several employers, I may only be able to send my electronic certificate to some of them.
Can I view my old electronic medical certificates?
Yes.
I can view the history of my electronic medical certificates at any time in my private eSpace on MyGuichet.lu.
Each certificate will be archived there with the date of issue, the period covered and the transmission status.
This only applies to medical certificates generated electronically by my doctor from January 2026 onwards, if applicable.
My doctor made a mistake on my electronic medical certificate. What should I do?
I must contact my doctor so that he can cancel the electronic medical certificate from his software. I will receive a notification following this cancellation.
My doctor can then issue a new, corrected electronic medical certificate.
What should I do if I need to see a doctor abroad?
For medical certificates issued by a doctor abroad, it will not be possible to submit the declaration electronically via MyGuichet.lu.
In this case, I will send the certificate by post in the traditional manner.
